Terms and Conditions
The terms on which OuterJoin provides the School Compliance portal. Please read them before you register your school.
Last updated 8 September 2026.
1.Who you are contracting with
School Compliance is provided by Outer Join Solutions (Pty) Ltd (registration number 2017/289991/07), VAT number 4210279636, a business registered in South Africa, of 5 Zulberg Close, Bruma, Johannesburg, 2198. In these terms "we" and "us" mean OuterJoin, and "you" means the school that registers.
You can reach us at info@outerjoin.co.za.
2.What the service is
A private, web-based portal for your school's governing body or board. It holds your governance policies, runs AI-assisted compliance checks against South African education legislation, manages funding applications and spend approvals, produces and stores signed meeting minutes, and tracks action items.
Each school gets its own web address, its own branding and its own separate data store. Your school's data is not shared with, or visible to, any other school on the platform.
3.What we do not promise
The portal does not make your school compliant. It reads the documents you give it and reports where they appear to fall short of the BELA Act, SASA and provincial regulation. Acting on what it finds remains your governing body's responsibility, and a score in the portal is not a defence in an audit or an inspection.
Nothing in the portal is legal advice. The compliance check is produced by an AI model and can be wrong, incomplete or out of date with a recent amendment. Treat it as a prompt to look, not as a finding.
4.Registering and your users
You must give accurate details when you register, and you are responsible for everything done through your school's portal by the people you invite to it. Keep sign-in credentials confidential and tell us promptly if you think an account has been compromised.
Every plan covers up to 20 governing body and staff users. If your school needs more, we lift the limit for an additional R2,000 a month.
5.Fees, VAT and how you pay
The monthly plan is R1,750 / month. The annual plan is R15,000 a year, which works out at R1,250 / month. All prices include VAT. Prices are published at schoolcompliance.co.za.
You can pay by card through Payfast, which sets up a renewing subscription as described in clause 6, or you can ask us to invoice you and pay by EFT. Where you choose an invoice, your portal is set up once the payment reflects in our account and we invoice you again before each renewal rather than collecting automatically. A tax invoice is available on request for any payment.
We may change our prices. A change never affects a period you have already paid for, and we will tell you before the next one.
6.Term, renewal and how to stop it
Your plan renews automatically until you cancel it. On the monthly plan we collect the fee once a month; on the annual plan, once a year. The renewal is set up with Payfast when you first pay, and it continues until it is cancelled. It has no end date and no fixed number of payments.
You can cancel at any time and there is no notice period. Email info@outerjoin.co.za from an address on the account and we will stop the renewal within one working day and confirm in writing. Payfast also emails you when the subscription is created, and you can cancel it with them directly.
Cancelling stops future payments. It does not end the period you have already paid for, and your portal stays open until that period runs out.
If a discount code reduced your first payment, it applies to that payment only. Renewals are at the standard price published on our site, and we will tell you what that is before the first renewal.
If a renewal payment fails, we will email you and try again. If it still cannot be collected we will suspend access rather than keep retrying indefinitely, and your data is kept as described in clause 8.
7.Cancellation and refunds
Set out in full in our Refund and Cancellation Policy, which forms part of these terms.
8.Your data
The information your school puts into the portal remains yours. Your school is the responsible party for the personal information of your governors, staff and any other people whose details you record, and we process it on your instruction as your operator, as those terms are used in the Protection of Personal Information Act, 2013.
How we handle it, who else touches it and what your rights are is set out in our Privacy Policy.
You can export your data at any time while your access is live. If you stop paying, we keep your data for 90 days so you can come back or ask for a copy, and then we delete it.
9.Availability and support
We aim to keep the portal available at all times but we do not guarantee uninterrupted service. We may take it down briefly for maintenance, and we will avoid school hours where we can.
Support is by email to info@outerjoin.co.za. We aim to answer within one working day.
10.Suspension
We may suspend a school's access if a payment is not made, if the portal is used unlawfully, or if we are required to by law. Except where the law requires otherwise, we will tell you first and give you a chance to put it right.
11.Liability
Nothing in these terms excludes liability that cannot lawfully be excluded, including for death, personal injury or fraud.
Otherwise, and to the extent the law allows, our total liability to you for anything connected with the portal is limited to the fees you have paid us in the twelve months before the claim arose. We are not liable for indirect or consequential loss, for loss of profit or reputation, or for any regulatory finding, penalty or audit outcome affecting your school.
12.Changes to these terms
We may update these terms. The version in force is the one published here, and the date at the top tells you when it last changed. If a change materially reduces what you get, we will email the address on your account before it takes effect.
13.Governing law
These terms are governed by the law of South Africa, and the courts of South Africa have jurisdiction.
